8. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Service Terms & Conditions
These service terms apply to all bookings made with The Reflexology & Pilates Studio, whether online, by phone, or in person. By booking any service you confirm that you have read and agree to these terms.
9. Making a Booking
All appointments and class bookings must be made in advance via our website, by telephone, or by email. A booking is only confirmed once you receive written or verbal confirmation from us. For courses and block bookings, payment or an agreed deposit is required at the time of booking to secure your place.
10. Pricing & Payment
All prices are as listed on our website or current price list at the time of booking. Prices may be updated from time to time; any change will not affect bookings already confirmed and paid. Payment is accepted by cash, bank transfer, or other methods as displayed at the Studio. Gift vouchers are valid for 12 months from the date of purchase and cannot be exchanged for cash.
11. Cancellation Policy
Reflexology 1-to-1 Appointments
Notice periods are calculated from the time we receive your cancellation by phone or email.
- More than 48 hours’ notice — no charge. No payment is due.
- 24–48 hours’ notice — £10 cancellation charge. This will be deducted from any payment made.
- Less than 24 hours’ notice — the full session fee is charged, regardless of attendance.
Please note: repeated late cancellations may result in full prepayment being required for future bookings.
Pilates Group Classes
If you are unable to attend a booked class, you may transfer your booking to another class in the same week, subject to availability. Cancellations with less than 24 hours’ notice are non-refundable.
Pilates Block Bookings & Courses
Individual missed sessions within a block or course are non-refundable. If you are unable to continue due to a medical reason, please contact us as soon as possible — we will consider a partial credit at our discretion, subject to written notice and, where relevant, supporting medical evidence.
12. Late Arrival
Please arrive on time for your appointment. If you arrive late your session may be shortened to avoid affecting other clients, and the full session fee still applies. If you arrive more than 15 minutes late and we are unable to accommodate you, this will be treated as a late cancellation.
13. Reflexology — Important Information
Reflexology is a complementary therapy, not a substitute for professional medical advice or treatment. We do not diagnose or prescribe, and no claim is made that reflexology cures any condition.
All new clients must complete a health consultation form before their first treatment. Please disclose all relevant medical history, current medications, and conditions. Your information is held in strict confidence in line with our Privacy Policy.
Certain conditions may mean reflexology is not suitable, or may require GP clearance before treatment can begin. Common contraindications include:
- active blood clots (DVT), phlebitis or thrombosis;
- foot or lower leg infections, open wounds, or active skin conditions;
- the first trimester of pregnancy; and
- unstable epilepsy or recent surgery.
If you are unsure whether reflexology is suitable for you, please contact us before booking and we will be happy to advise.
Some clients experience a temporary healing response following reflexology — such as increased tiredness, headache, or heightened emotional sensitivity. This is a normal part of the process and typically resolves within 24–48 hours. We will advise you on aftercare at the end of your session.
14. Pilates — Important Information
Pilates involves physical exercise and carries an inherent level of risk. You participate in all sessions at your own risk. Please inform your instructor of any injuries, conditions, or limitations before every session.
All new Pilates clients must complete a health screening form before their first session. This allows us to tailor sessions safely and effectively to your individual needs. Please update us promptly if your health status changes in any way that may affect your participation.
If you have a specific injury, medical condition, or rehabilitation need, we strongly recommend starting with a 1-to-1 session before joining a group class, so we can properly assess your needs.
Clients under the age of 16 must have written parental or guardian consent and must be accompanied throughout the session.
15. Liability
We take all reasonable care to ensure client safety during treatments and sessions. However, we cannot accept liability for injury or damage arising from:
- your failure to disclose relevant health information;
- participating against the advice of your doctor or our practitioner or instructor;
- loss or damage to personal belongings; or
- circumstances beyond our reasonable control.
Our liability for any claim is limited to the total fees paid for the service in question. Nothing in these terms limits liability for death or personal injury caused by our negligence.
16. Feedback & Complaints
Your experience matters to us. If you are unhappy with any aspect of our service, please contact Susan Hancock directly by email or telephone at the earliest opportunity. We will acknowledge any complaint within 5 working days and aim to resolve it within 28 days.
17. Changes to These Terms
We reserve the right to update these Terms and Conditions at any time. The current version will always be available on this page, with the date of the most recent update shown at the top. Continued use of our website or services after any change constitutes acceptance of the revised terms.
